We help organisations digitise, index and archive their document collections — from legacy paper files to scattered digital folders. Work is carried out under contract, with defined retention and handover terms.
Each engagement is scoped individually. Below are the areas we most commonly work in.
Bulk conversion of paper archives into searchable files, including OCR and quality control passes.
Structured capture of fields from invoices, contracts and forms, delivered as CSV, XML or a database import.
Retention scheduling, catalogue construction and long-term storage arrangements for records with legal hold periods.
Inventory of what an organisation actually holds, where it lives, and which parts can be disposed of.
Certified destruction of superseded material, with documented chain of custody and disposal certificates.
Moving existing collections between document management systems without losing metadata or version history.
Most projects follow the same four stages, whether the volume is two shelves or two hundred boxes.
We assess volume, condition and formats on site, then produce a written scope and estimate.
Material is sorted, de-stapled where needed, and assigned batch identifiers for tracking.
Capture and indexing run in batches, with sampling checks at each stage against the agreed accuracy target.
Output is delivered in the agreed format, along with an index and a disposal or return decision per batch.
DocumentHub was set up to handle a problem most organisations postpone: records that have accumulated over decades in filing cabinets, off-site storage units and half-migrated shared drives.
We work mainly with public-sector bodies, legal practices and mid-sized manufacturers across the Baltic states — clients whose retention obligations make ad-hoc digitisation impractical. Engagements are handled under written contract, and processing is carried out on our own equipment rather than subcontracted.
We do not resell software or operate a self-service platform. Every project is quoted and delivered individually.
Send a short description of the collection — approximate volume, formats and any retention requirements. We normally reply within two working days with a scope outline.
